The Sales Order Specialist is responsible for coordinating customer purchase order reviews and order acknowledgements, as applicable. The Order Entry specialist is also responsible for adherence to the company order processing procedure and following the Sales Order Entry Job Aid to 1) create and process sales orders, 2.) process customer change orders, 3.) create interim orders to support work prior to the receipt of customer purchase order, 4.) rejecting interim orders, if customer order is never received, and 5.) updating order conditions and billing plans, as required for close-out of time and material (T&M) projects. The Order Entry Specialist is responsible for resolving queries with no to limited supervision. Also works with the automation programs to process data and inform the relevant requestor. This role is hybrid with work at our Krakow Global Shared Services (GSS) office required.


Your Day to Day:

  • When required, create order acknowledgement letter using the proper template, particularly when there are discrepancies between the Westinghouse offer and the customer purchase order
  • For new customer purchase orders and change orders:
    • Follow SOX compliance process for sales orders valued at $1M or greater
    • Attach customer PO and related documents, plus Westinghouse offer and order acknowledgement to SAP sales order
    • Update Header Partners tab using reference lists
    • Update Header Text fields as required to facilitate the order archive process
    • Link Level 1 Work Breakdown Structure (WBS) to each sales order line item
    • Update billing plan of each sales order line item, creating a high-level billing plan when required
    • Archive the SAP sales order (for ISO and SOX compliance)
  • Create interim orders, following a similar process to creating customer purchase orders
  • Queries resolution
  • Processing data with automation tools

Who You Are:

  • B.A., B.S. in Business, Engineering or Finance
  • Global experience
  • Knowledge of Westinghouse and the industry
  • Proven track record with respect to knowledge of financial processes, controls, and associated improvement programs
  • A general understanding of Westinghouse systems and data quality needs
  • Excellent communication, presentation, and leadership skills.
  • Ability to operate effectively in a team environment.
