Sales Operations Associate

The Sales Operations Associate will provide administrative support to the sales managers in all regions in the USA. This position reports to the Head of Supply Chain Management or another member of senior management personnel that the President of the Company may designate. This position will be based out of our Irvine office, with an in-office schedule that is set at the direct manager’s discretion in accordance with the company policies and procedures. Remote options could be considered for exceptional cases.

Responsibilities

  • Manage customer accounts by reviewing, validating, and processing purchase orders/sales orders.
  • Communicate with other departments, such as Finance, Logistics, Demand Planning, and partners and customers.
  • Enter orders into the Company’s system and monitor orders to ensure that any adjustments are properly implemented.
  • Track inventory and allocate purchase orders using the Company’s system.
  • Collaborate with the Sales team to forecast inventory demand and determine optimal stock levels.
  • Supervise the delivery schedule and provide regular updates to the Sales team.
  • Verify product serial numbers and pallet quantities for each customer’s order and review order deliveries for billing purposes.
  • Compile data for invoicing to be shared with the Finance team.
  • Comply with the Company’s rules, regulations, and policies.
  • Demonstrate flexibility and willingness to work on different tasks in a teamwork environment and assist the team when needed.
  • Perform other duties and special projects as assigned by the management.

Required Qualifications

  • High School Diploma with 2 years of relevant professional experience, or Associate Degree (AA) or Bachelor’s Degree with 0-1 year of experience
  • Proficient knowledge of Microsoft Office Suite, particularly Excel and Word
  • High degree of professionalism and conduct at all times
  • Demonstrated track record of delivering results; able to multitask, set priorities, and meet deadlines
  • Excellent verbal and written communication skills with the ability to present and explain complex information clearly to internal and external clients

  • Ability to work with high-volume orders
  • Thrive working in a fast-paced environment and enjoy multitasking while managing multiple projects and tasks

The salary range is required by the California Pay Transparency Act and may differ depending on the location of those candidates hired nationwide. Actual compensation is influenced by a wide array of factors including but not limited to, skill set, education, licenses and certifications, essential job duties & requirements, and the necessary experience relative to the job’s minimum qualifications.
